Sharing a Calendar - Outlook 2007

Everyone at the iSchool can see your free/busy info, that is everyone can see when you are free, when you are busy and when you are out of the office.  But unless you specifically share your calendar with someone, they can't see why you are busy or out of the office.  This FAQ will show you how to grant someone that ability.

1) In the left pane of Outlook, click on 'Calendar'.

2) Under 'All Calendar Items', click 'Share My Calendar...'.

3) This will bring up a sharing invitation that should look a lot like a regular invitation.  Click the 'To' button and add those people that you want to have access to your calendar.

4) Send the sharing invitation.

Once this has been done the basic process is finished.  The recipient does not need to do anything and they now have 'Reviewer' permission on your calendar which means that they can read everything/all the details but not modify anything.  If you want to give someone greater access to your calendar, here is how.

1) In the left pane of Outlook click 'Calendar'.  then right click the calendar whos permissions you want to modify and select 'Properties'.

2) Click the 'Permissions' tab and here you will see all the people with whom you already shared your calendar.  Highlight the person and then modify their permissions.

The easiest thing to do is to just select a 'Permission Level' from the drop-down menu for that person but you are also able to customize permissions on a very granular level by checking and unchecking the boxes at the bottom of this window.
